PROGRAM OPERATIONS ASSISTANT
Part-Time, or Full-Time, Starting January 2022
The Program Operations Assistant will provide general support to program staff in the areas of administration, communications, concerts, and special projects. This position reports to the Chief Program Officer.

Summary of Position
The Humanity & Health Foundation (HHF) seeks a dependable, motivated, detail-oriented individual to take on the position of Program Operations Assistant.
The Program Operations Assistant will provide general support to program staff in the areas of administration, communications, concerts, and special projects. This position reports to the Chief Program Officer.
The successful candidate will have at least one year of administration experience in a corporate or nonprofit setting, a willingness to learn and develop administrative systems with the CPO and program staff, and demonstrate an unyielding commitment to the success of the HHF organization.
Key Duties of the Program Operations Assistant
- Support program operations through general, daily administrative support
- Understand HHF procedures and policies and implement them daily
- On behalf of the CPO, draft emails and documents, collect and analyze information, and initiate communications
- Prepare materials and presentations for program meetings and special events
- Track and process human resources documents as required
- Take minutes and write summaries at program meetings
- Meet and greet visitors of program staff, prepare meeting rooms and meal arrangements
- Assist with tracking and production of payroll documents
- Assist with volunteers/staff/clients registration processing and clientele records
- Assist with tracking and documenting the purchase of program materials
- Working with the program team ensure properly functioning program materials and resources
- Assist program team for meetings, webinars, conferences, recordings, and special events
- Assist program team with implementation and monitoring of COVID-19 safety policies
- Serve as an administrative liaison between the CPO, the executives, and other members of the HHF
- Plan and coordinate travel arrangements for program staff including airplane tickets, hotel accommodations, ground transportation
- Other administrative tasks as assigned by the CPO
- Work on Special projects as assigned
Education & Experience:
- Associate’s Degree or Bachelor’s degree
- Minimum one-year experience in a corporate or non-profit setting
- Strongly skilled in Word, Excel, PowerPoint, Google Docs

Additional Work Demands
- Must be willing and able to work some evenings and weekends
Notes:
The Program Operations Assistant is a full-time position starting at the winning candidate’s earliest availability.
Salary range: TBA, commensurate with experience. Background check required.
